Start with the guest count
Catering and venue scale directly with guests, so they usually take half of the budget. Settle the list first, then decide what each head is worth.
If the number feels too high, trim the plus-ones and distant acquaintances before trimming quality. Fewer guests with better food is rarely regretted.
A sensible split
Every wedding differs, but a starting point helps conversations with families.
- Venue and catering: about 50 percent
- Decoration and florals: about 20 percent
- Attire, makeup, and photography: about 20 percent
- Contingency and small extras: about 10 percent
Where to save quietly
Choose seasonal flowers, repeat arrangements between ceremony and reception, and put the biggest moment where guests spend the most time.
Talk to both families early
Large weddings in Indonesia are rarely funded by the couple alone. Before any vendor is booked, sit down with both families and agree on who contributes what, and which decisions come with each contribution.
Write the agreement down, even informally. A shared note that says the bride's family covers the reception venue and the groom's family covers catering prevents awkward conversations six months later.
Track every payment
With three hundred guests, a dozen vendors and several payment terms, money slips through the cracks quickly. Keep one spreadsheet with the quoted price, deposit paid, balance due, and the date each balance is owed.
Review it every two weeks. Most budget surprises come from late add-ons, extra chairs, an overtime hour or a second fitting, rather than from the big contracts themselves.
- Quote, deposit, and balance for every vendor
- Due dates in one column, sorted by month
- A separate line for tips and transport
Keep a real contingency
The ten percent contingency only works if nobody touches it until the final month. Treat it as already spent, and release it in small pieces for genuine surprises such as weather or last-minute guests.
Whatever remains after the wedding is a pleasant gift to yourselves. Couples who skip the buffer almost always end up borrowing it from somewhere less comfortable.
